10 Breeze Assistant Prompts for Finance and Asset Management

I optimized these for current Breeze Assistant behavior in HubSpot: it works best when you give it a direct task, clear context, an explicit output format, and a defined search focus such as the exact apps, records, files, URLs, or date range to use. Breeze can use CRM, customer conversation, and files data when those AI data sources are enabled; it can also use connected apps, attach PDFs, prepare for meetings when calendar is connected, summarize records/reports, and help add or edit workflow actions. It is less reliable for vague prompts, and connected-app searches do not support natural-language filters the way Gmail-style queries do. HubSpot also explicitly advises against putting sensitive information into prompts.

For this vertical, Breeze is strongest on relationship intelligence, pipeline analysis, service trend analysis, meeting prep, knowledge mining, and draft generation inside the CRM. It is not the right place to ask for portfolio construction, fiduciary recommendations, valuation models, or regulated investment advice. The prompts below stay inside the lane Breeze handles well in HubSpot. Record-summary style prompts are especially well grounded when the needed data lives on contacts, companies, deals, and tickets.

Use your portal’s exact pipeline names, stages, list names, property names, and segment labels in the brackets. That will usually improve output quality.

10 Breeze-optimized prompts for Investment & Asset Management

1) HNWI meeting prep brief

Best for wealth management teams using calendar + CRM activity history.

Prepare me for my meeting with [CONTACT NAME] at [COMPANY/FAMILY OFFICE NAME].

Use the contact, company, associated deals, notes, emails, calls, meetings, and last 12 months of activity in HubSpot.

Give me:
1. a 1-paragraph relationship summary,
2. the top 5 priorities or concerns they appear to have,
3. any open service issues or unresolved follow-ups,
4. opportunities to deepen the relationship,
5. 5 smart questions I should ask in the meeting,
6. a 100-word follow-up email draft I can send after the meeting.

Write this for an advisor preparing for a high-value client conversation. Keep it concise and professional.

2) At-risk client relationship scan

Best for wealth managers and client service teams looking for relationship drift.

Review our [HNWI / UHNW / PRIVATE CLIENT] contacts and companies.

Identify the top 20 relationships that appear at risk based on:
- no recent meeting or call activity in the last [90/120] days,
- open tickets or unresolved service issues,
- overdue tasks,
- missing next steps on associated opportunities,
- notes indicating frustration, delay, or uncertainty.

For each relationship, provide:
- why it appears at risk,
- latest meaningful interaction,
- recommended next best action,
- a short outreach draft for the relationship owner.

Output as a prioritized list from highest to lowest risk.

3) Household / advisor book segmentation for proactive outreach

Useful when a wealth team wants a tighter service model.

Analyze my book of business for [ADVISOR NAME / TEAM NAME].

Segment clients into 4 groups based on relationship depth, recent engagement, revenue or AUM proxy fields, service activity, and open opportunities.

For each segment, provide:
- segment name,
- defining characteristics,
- service risks,
- expansion potential,
- recommended outreach cadence,
- one sample message appropriate for that segment.

Keep the output practical for a wealth management team using HubSpot as a relationship operating system.

4) Institutional pipeline slippage review

Strong fit for asset managers raising assets with consultants, RIAs, platforms, pensions, or family offices.

Analyze open deals in pipeline [PIPELINE NAME] with close dates in [QUARTER OR DATE RANGE].

Flag which deals are most likely to slip based on:
- stage duration,
- last activity date,
- missing next step,
- missing stakeholder coverage,
- overdue tasks,
- stalled email or meeting activity,
- notes that suggest uncertainty or timing risk.

For each at-risk deal, show:
- current stage,
- why it is at risk,
- what information is missing,
- the best next move,
- a suggested owner action for this week.

Start with an executive summary, then provide the deal-by-deal breakdown.

5) Closed-lost allocator pattern analysis

A good fit for asset management and alternatives business development.

Review all closed-lost deals in pipeline [PIPELINE NAME] from the last [6/12] months.

Group the losses by:
- investor type,
- strategy or product,
- objection themes,
- competitor mentions,
- stage where the deal was lost,
- common missing content or unanswered diligence questions.

Then tell me:
1. the top 5 loss patterns,
2. what we should change in our sales process,
3. what content or enablement assets we appear to be missing,
4. 3 actions we should take this quarter to improve win rate.

Write this for a head of distribution or capital formation leader.

6) DDQ / RFP knowledge mining prompt

This is where Breeze can benefit from connected apps, files, URLs, and PDFs when available.

Search HubSpot plus [APP NAME 1], [APP NAME 2], and the files related to [FUND / STRATEGY / PRODUCT NAME].

Use documents, notes, emails, call summaries, and any attached PDFs from the last [TIMEFRAME].

Create a DDQ / RFP prep brief that includes:
- a summary of how we describe this strategy,
- commonly reused proof points or positioning,
- recurring diligence questions we’ve answered before,
- missing data or statements that need legal/compliance review,
- source documents I should open next.

Output as:
1. executive summary,
2. bullet list of likely reusable answers,
3. open questions,
4. source list.

7) Cross-sell / next-best-opportunity scan

Good for asset managers and wealth firms with multiple offerings.

Review existing customers and active relationships tied to [PRODUCT / STRATEGY A] but not [PRODUCT / STRATEGY B].

Use CRM history, associated deals, notes, meetings, tickets, and engagement activity to identify the top 15 cross-sell candidates.

For each candidate, provide:
- why they are a fit,
- which signals support the recommendation,
- likely angle for the conversation,
- any service or relationship risks to address first,
- a personalized outreach draft that is educational and compliant in tone.

Do not make investment recommendations. Focus on relationship and sales signals in the CRM.

8) Investor-service issue clustering and FAQ creation

Best for service teams, investor relations, and client operations.

Analyze tickets, feedback, and service conversations from the last [90/180] days for [CLIENT SEGMENT].

Cluster the top issues into categories such as:
- onboarding,
- reporting and statements,
- portal access,
- document requests,
- capital calls / distributions,
- advisor communication,
- account servicing.

For each category, provide:
- issue summary,
- likely root cause,
- representative examples,
- whether this looks like a knowledge gap, process gap, or staffing gap,
- a draft FAQ or knowledge base article title,
- a short first draft of the FAQ answer.

Keep the language suitable for a financial services client experience team.

9) CRM-derived ICP for a new strategy or product launch

Analyze our closed-won deals and strongest customer relationships from the last [12/24] months for [STRATEGY / PRODUCT / FUND TYPE].

Create an ICP for future opportunities in this category using:
- contact titles,
- company types,
- geography,
- engagement patterns,
- sales cycle signals,
- common pain points from notes and calls,
- objections that were successfully overcome.

Then provide:
1. the ICP summary,
2. buying committee roles we should target,
3. top messaging angles,
4. early warning signs of poor-fit prospects,
5. the top 20 current open deals or companies that most closely match this ICP.

10) Workflow builder for stale opportunities or service escalations

Build a workflow for [PIPELINE NAME OR TICKET PIPELINE NAME].

Goal:
identify records that are stalled or at risk and trigger the right follow-up.

Criteria:
- deal has been in [STAGE NAME] more than [X] days with no next step, OR
- no activity in [Y] days, OR
- ticket priority is [HIGH] and no owner response in [Z] hours.

Create a workflow with:
- enrollment triggers,
- if/then branches,
- internal notification,
- owner task creation,
- internal note summarizing likely risk,
- optional customer/prospect follow-up draft,
- exit criteria,
- suppression logic to avoid duplicates.

Show the workflow in a clear step-by-step structure.

Two practical notes

What to avoid in this vertical

Because HubSpot warns against putting sensitive information into AI prompts, avoid pasting account numbers, detailed holdings, nonpublic performance figures, or regulated client data directly into Breeze prompts. If your portal has Sensitive Data enabled, some record-summary behavior can also be limited. (HubSpot Knowledge Base)

How to make these work better

For the best results, name the exact pipeline, stage, list, date range, and segment in the prompt, and explicitly tell Breeze what output shape you want. If you want it to search outside HubSpot, select connected apps or add specific URLs/files. (HubSpot Knowledge Base)
