Go Koala is a business focused on delivering membership-based services. With a growing sales team and a need for efficient communication and tracking tools, Koala faced limitations within its existing CRM configuration. Their use of HubSpot was under-leveraged, particularly in sales automation and reporting. Seeking to empower their sales team and optimize internal processes, Koala engaged No Bounds Digital to enhance their HubSpot setup, with a special emphasis on SMS capabilities and workflow logic.

Koala’s sales operations were hampered by an inability to efficiently send SMS messages directly through HubSpot, a critical communication channel for their sales process. Additionally, the reliance on list-based reporting created hurdles in accurately tracking deal progression, especially for recurring membership sales. Workflow behavior was rigid, unable to dynamically respond to critical actions like call bookings, reducing overall effectiveness and user satisfaction. 

Koala aimed to achieve the following:

Solution

No Bounds Digital implemented a comprehensive solution leveraging HubSpot’s capabilities. This included enabling one-to-one SMS messaging and automating SMS communication through task-based workflow triggers—an innovative workaround given HubSpot’s native limitations.

The team developed a structured deal pipeline that aligned with Koala's sales process and built over 25 custom reports focused on deal objects for better data visualization and actionable insights. Furthermore, eight key workflows were redesigned to automatically stop when key sales milestones were reached, such as a successful appointment booking, ensuring a more responsive and efficient system.

 

Results

As a result of these enhancements, Koala's sales team experienced a notable boost in productivity and communication effectiveness. Task-triggered SMS automation created a seamless way to keep prospects engaged, while the customized reporting empowered sales leaders with clearer visibility into pipeline performance. The restructuring of workfl ows led to fewer manual overrides and better adherence to the intended sales journey.
