Found-Space, a premium sauna manufacturer serving customers across Australia and New Zealand, needed a more efficient way to manage delivery and installation confirmations. With more than 1,000 units delivered annually and a network of over 30 installation contractors, the company relied on manual processes to capture customer sign-off after installations.
The team wanted a scalable solution that would allow customers to electronically sign delivery confirmations, automatically receive documentation of their completed installation, and provide Found-Space with visibility into potential service issues. Their goal was to replace expensive third-party e-signature platforms while keeping all customer data and operational workflows centralized within HubSpot.
Solution
No Bounds Digital designed and implemented a custom delivery confirmation system directly within HubSpot.
The solution included a custom HubSpot form that captured critical installation information, including customer details, model information, installation notes, and electronic signatures. The form was designed specifically for use by installation teams in the field, providing a streamlined experience for both contractors and customers.
To enhance the customer experience, No Bounds Digital developed an automated workflow that generated and delivered confirmation documentation immediately after form submission. Customers received a professional confirmation email containing details of their completed installation, providing reassurance and a documented record of delivery.
The project also included service workflow automation within HubSpot. When specific conditions indicated a potential service requirement, HubSpot automatically created and associated service tickets with the appropriate customer records.
