  • Deduplication logic to prevent record inflation as volumes increased, keeping the communication history usable and reportable.
  • Attachment logging structure to address linking issues and ensure historical documentation could be consistently tied back to the correct CRM records.
  • Monitoring and reporting expectations to support ongoing oversight of imports, exceptions, and completion status—so ownership could sit with the business, not the importer.

HubSpot served as the platform for this system; the focus was on designing rules leadership could trust and teams could follow.

Before, email history imports introduced ambiguity—teams could not be fully confident that conversations and attachments were attached to the right records, and duplicates created noise in the system.

After implementation, American Timber and Steel had a governed model for importing and managing communication history in HubSpot, including the ability to correct misassociations, reduce duplication, and maintain CRM integrity as volume increased.
